Project Management User Guide

TL;DR

Project Management is a task-tracking system that helps your team organize work across projects, group tasks into phases or sprints, and track completion progress. Use the list view to manage tasks with custom fields and attachments, or switch to Kanban view for stage-based workflow visualization. Create projects, add tasks to groups, and monitor progress with visual indicators.

How to Access Project Management

Navigate to the Project Management section from your main ellocharlie navigation menu. You'll land on the project listing page, which displays your projects with progress indicators and task counts. From here, you can view all active projects, create new ones, and access individual project portals.

How to Use Project Management

Understanding the Two Views

List View is your primary workspace for detailed task management. It displays:

  • Project header with a progress ring showing overall completion

  • Project title and total task count

  • Collapsible task groups (phases or sprints) with individual progress indicators

  • Task rows showing checkbox, title, optional priority, and status badges

  • A "New task" affordance within each group to quickly add work

Kanban View is ideal for stage-based workflow management. It organizes tasks by stage (such as "To Do," "In Progress," or "Complete") and lets you:

  • See all tasks at a glance organized by their current stage

  • Drag and drop tasks between stages to reflect real-world progress

  • Reorder tasks within a stage to set priorities

  • Changes are immediately reflected and persisted to your system

Switch between views using the view toggle at the top of the project portal.

Managing Tasks

Opening a Task
Click on any task row to open the task detail drawer. This drawer offers two modes:

  • View Mode: Read-only display of all task information, including title, description, custom fields, attachments, and activity history

  • Edit Details Mode: Modify task configuration, including title, priority, status, custom fields, and other metadata

Editing Task Details
In Edit Details mode, you can:

  • Update the task title and description

  • Assign or change priority levels

  • Modify status badges and stage assignment

  • Fill in custom fields (some may be required by your team)

  • Add or remove attachments and video files

Viewing Attachments and Video
Per-task files are downloadable directly from the task detail drawer. Video files are rendered in a lightbox player for easy preview without leaving the interface.

Tracking Changes
An Activity History drawer logs all changes made to a task, including who made the change, what was modified, and when. Access this from within the task detail view.

Working with Task Groups

Task groups (phases or sprints) are collapsible sections within a project. Each group shows:

  • Group name and per-group progress indicator

  • All tasks assigned to that group

  • A "New task" button to add tasks directly to the group

Click the collapse/expand icon to hide or show tasks within a group, keeping your view focused on what matters.

Restoring Deleted Tasks

If a task is accidentally deleted, open the Deleted Items drawer from the project portal. Here you can review soft-deleted tasks and restore them to their original group and state. All task data and history are preserved.

Create a Project

  1. From the Project Management section, select Create New Project (or the equivalent option in your interface)

  2. Enter a project name and optional description

  3. Configure your project structure:

    • Define task groups (phases, sprints, or other logical divisions)

    • Set up custom fields if your team needs additional metadata beyond title, priority, and status

    • Specify which custom fields are required for all tasks

  4. Mark the project as Active when ready to start adding tasks

  5. Your project is now ready — begin adding tasks to groups and tracking progress

The Project Portal

Once you've created a project, the project portal is your central workspace. It includes:

Project Header
Displays the project name, a progress ring showing overall completion percentage, and the total number of tasks across all groups.

Task Groups Section
Shows all groups (phases or sprints) within the project. Each group is collapsible and displays:

  • Group name and progress indicator

  • List of tasks in that group

  • "New task" button for quick task creation

Task Rows
Each task displays:

  • Checkbox to mark completion

  • Task title

  • Optional priority indicator

  • Status badge showing the current stage or state

  • Click to open the full task detail drawer

View Toggle
Switch between List View (detailed task management) and Kanban View (stage-based workflow) depending on your current task.

Stats Cards (if enabled)
High-level metrics across your project workflow, such as total tasks, completed tasks, or tasks by priority.

Column Visibility and Customization
In List View, you can:

  • Reorder columns by dragging them

  • Sort by any column using the sort chevrons

  • Toggle column visibility via the settings popover

  • Use pagination to navigate through large task lists

Best Practices

Organize Work into Groups
Use task groups to break projects into logical phases or sprints. This makes it easier for your team to focus on current work and understand project structure at a glance.

Leverage Custom Fields
Set up custom fields that matter to your team — such as assignee, effort estimate, or client reference. Mark critical fields as required to ensure consistent data entry.

Keep Priorities Clear
Use priority indicators consistently so team members understand which tasks need attention first. Review and update priorities regularly as project needs change.

Use the Right View for the Task
Switch to Kanban View when you need to manage workflow stages and bulk-move tasks. Use List View when you need to review detailed information, filter by multiple criteria, or make inline edits to many fields at once.

Monitor Progress Regularly
Check the progress ring on your project header and per-group indicators to spot bottlenecks and ensure work is moving forward. Use the Activity History to understand what changed and when.

Attach Supporting Materials
Use per-task attachments and video to keep all relevant context in one place. This reduces back-and-forth communication and keeps decisions documented.

Restore Deleted Tasks Promptly
If a task is deleted by mistake, use the Deleted Items drawer to restore it quickly. All history and attachments are preserved.

FAQ

Q: What happens when I mark a task as complete?
A: The task checkbox is marked, and the progress indicators for both the task group and the overall project are updated immediately to reflect the new completion percentage.

Q: Can I move a task to a different group?
A: Yes. Open the task detail drawer, switch to Edit Details mode, and update the group assignment. The task will be moved immediately and your progress indicators will recalculate.

Q: What's the difference between priority and status?
A: Priority indicates urgency or importance (e.g., High, Medium, Low). Status indicates the current stage of work (e.g., To Do, In Progress, Complete). Both can be customized to match your team's workflow.

Q: Can I add custom fields to tasks?
A: Yes. When you create a project, you can define custom fields that all tasks in that project will include. Custom fields can be marked as required or optional. You can edit custom field values in the task detail drawer's Edit Details mode.

Q: How do I track who made changes to a task?
A: Open the task detail drawer and view the Activity History drawer. It logs every change, including who made it and when.

Q: Can I download attachments from a task?
A: Yes. Open the task detail drawer and click the download icon next to any attachment. Video files can be previewed in a lightbox player without downloading.

Q: What happens if I accidentally delete a task?
A: The task is soft-deleted, meaning it's hidden but not permanently removed. Open the Deleted Items drawer from the project portal and select Restore to bring it back with all its data and history intact.

Q: Can I reorder tasks within a group?
A: Yes, in Kanban View you can drag and drop tasks to reorder them within a stage. In List View, you can sort by any column to organize tasks by your preferred criteria.

Q: Do my changes save automatically?
A: Yes. All changes to tasks, groups, and project settings are immediately reflected and persisted to your system.
