Overview
The Notion integration enables bidirectional synchronization of data between ellocharlie and your Notion workspace. You can sync deals, projects, tasks, and custom fields, keeping both platforms in sync automatically. The integration is built on Notion's OAuth authentication, meaning you control exactly what data ellocharlie can access, and all sync activity is logged for audit purposes.
How to Use the Notion Integration
Step 1: Authorize Your Notion Workspace
Navigate to Settings → Integrations (or Connected Apps).
Find Notion in the integrations list and click Connect.
You'll be redirected to Notion's authorization screen.
Review the permissions ellocharlie is requesting (read/write access to databases and workspace data).
Click Allow to grant access.
You'll be returned to ellocharlie. Your Notion workspace is now connected.
Step 2: Select Databases and Configure Sync Direction
After authorization, you'll see a workspace selector.
Choose which Notion workspace you want to sync with (if you have multiple).
Select the Notion databases you want to sync (e.g., a "Deals" database, a "Projects" database).
Choose your sync direction:
One-way (ellocharlie → Notion): Changes in ellocharlie automatically update Notion; changes in Notion won't sync back.
One-way (Notion → ellocharlie): Changes in Notion automatically update ellocharlie; changes in ellocharlie won't sync back.
Two-way: Changes in either platform sync to the other. Conflicts are resolved automatically.
Step 3: Map Custom Fields
In the field mapping interface, you'll see a list of ellocharlie fields on the left and Notion properties on the right.
For each ellocharlie field you want to sync, select the corresponding Notion property (or create a new one in Notion if needed).
ellocharlie will attempt to map compatible field types automatically (e.g., text to text, numbers to numbers).
If a field type isn't supported, it will be skipped or use a fallback representation (e.g., rich text).
Save your mappings when complete.
Step 4: Monitor Sync Status
Return to Settings → Integrations and select the Notion integration.
View the Sync Status Dashboard, which shows:
Last sync time
Number of pending items
Any errors or conflicts
All sync events are logged in the Activity Log for audit purposes.
Examples
Example 1: Syncing Deals from ellocharlie to Notion
You have a "Deals" database in Notion where your sales team tracks pipeline. You want ellocharlie to automatically push deal updates to Notion so your team sees the latest status without manual entry.
Connect your Notion workspace and select the "Deals" database.
Set sync direction to ellocharlie → Notion.
Map these fields:
ellocharlie "Deal Name" → Notion "Title"
ellocharlie "Deal Value" → Notion "Amount"
ellocharlie "Stage" → Notion "Status"
ellocharlie "Close Date" → Notion "Expected Close"
Save. From now on, whenever you update a deal in ellocharlie, the changes appear in your Notion database within seconds.
Example 2: Two-Way Sync with Custom Fields
Your team uses both ellocharlie and Notion for project management. You want changes in either platform to sync automatically.
Connect your Notion workspace and select your "Projects" database.
Set sync direction to Two-way.
Map your custom fields:
ellocharlie "Project Owner" → Notion "Owner"
ellocharlie "Budget" → Notion "Budget"
ellocharlie "Priority" → Notion "Priority"
Save. Now, if someone updates a project's priority in Notion, it syncs to ellocharlie. If someone changes the budget in ellocharlie, it syncs to Notion.
Monitor the Sync Status Dashboard to watch for any conflicts (rare, but logged if they occur).
Example 3: Syncing Tasks from Notion to ellocharlie
Your Notion workspace is the source of truth for task management. You want those tasks to appear in ellocharlie so your team can see them alongside CRM data.
Connect your Notion workspace and select your "Tasks" database.
Set sync direction to Notion → ellocharlie.
Map these fields:
Notion "Task Name" → ellocharlie "Task Title"
Notion "Assigned To" → ellocharlie "Assignee"
Notion "Due Date" → ellocharlie "Due Date"
Save. Tasks created or updated in Notion now sync to ellocharlie automatically.
FAQ
Q: What data can I sync?
A: You can sync deals, projects, tasks, and any custom fields you've defined in ellocharlie. The integration maps these to Notion databases and properties of your choice.
Q: What if a field type in ellocharlie doesn't match a Notion property type?
A: ellocharlie will attempt to use a compatible representation. For example, complex field types may be converted to rich text in Notion. Unsupported types are skipped during sync.
Q: How often does the sync happen?
A: Sync happens automatically and near-instantaneously when changes are made. The exact timing depends on Notion's API rate limits (approximately 3 requests per second). ellocharlie queues requests and uses exponential backoff to respect these limits.
Q: What happens if I make conflicting changes in both platforms at the same time?
A: If you have two-way sync enabled, ellocharlie includes automatic conflict resolution logic. Conflicts are logged in the Activity Log so you can review what happened. The most recent change typically wins, but you can review the audit trail to understand the resolution.
Q: Can I sync data from multiple Notion workspaces?
A: You can authorize one Notion workspace per ellocharlie account. If you need to sync multiple workspaces, you would need separate ellocharlie instances or contact support to discuss your use case.
Q: What permissions does ellocharlie request?
A: ellocharlie requests read/write access to databases and workspace data so it can sync your information. It cannot access private pages or unsecured databases. You control the scope during the OAuth authorization step.
Q: Can I change my sync direction after setup?
A: Yes. Return to Settings → Integrations, select the Notion integration, and update the sync direction. Your field mappings remain in place.
Q: How do I disconnect Notion?
A: Go to Settings → Integrations, find the Notion integration, and click Disconnect. This stops all syncing and removes ellocharlie's access to your Notion workspace. Your Notion data is not deleted.
Q: What if the sync fails?
A: Check the Sync Status Dashboard for error details. Common causes include:
A mapped field was deleted in Notion.
Notion API rate limits were exceeded (ellocharlie will retry automatically).
A field type is no longer compatible.
Review the Activity Log to see which items failed and why. If the issue persists, contact support.
Q: Is my data secure?
A: Yes. ellocharlie uses OAuth, so you authorize access directly through Notion. Your credentials are never stored in plain text. All sync activity is logged and auditable.
Best Practices
1. Start with One-Way Sync
If you're new to the integration, begin with one-way sync (ellocharlie → Notion or Notion → ellocharlie). This reduces the risk of conflicts and makes it easier to troubleshoot if something goes wrong. Once you're confident, you can upgrade to two-way sync.
2. Test Field Mappings with a Small Database First
Before syncing your entire pipeline, create a test database in Notion with a few sample records. Map your fields, run a sync, and verify the data looks correct. Then expand to your production databases.
3. Map Only the Fields You Need
Don't map every field. Sync only the fields your team actually uses in Notion. This reduces sync time, minimizes conflicts, and keeps your Notion workspace clean and focused.
4. Document Your Sync Configuration
Write down which ellocharlie fields map to which Notion properties, and which sync direction you're using. Share this with your team so everyone understands how the two platforms stay in sync.
5. Monitor the Activity Log Regularly
Check the Sync Status Dashboard and Activity Log weekly, especially in the first month after setup. Look for errors, failed syncs, or unexpected changes. Early detection makes troubleshooting easier.
6. Use Consistent Naming Conventions
If you're syncing custom fields, use the same naming convention in both ellocharlie and Notion (e.g., "Project Owner" in both, not "Owner" in one and "Project Lead" in the other). This makes mapping clearer and reduces confusion.
7. Avoid Syncing Sensitive Data
If you have sensitive information (e.g., internal notes, financial data), consider whether it should be in Notion at all. The integration respects Notion's permissions, but once data is in Notion, it's subject to Notion's access controls.
8. Plan for Large Workspaces
If you're syncing a large Notion workspace with thousands of records, the initial sync may take time. ellocharlie handles this with background jobs and pagination, but don't expect instant results. Check the Sync Status Dashboard to monitor progress.
9. Communicate Changes to Your Team
If you change sync direction, add or remove field mappings, or disconnect Notion, let your team know. Unexpected changes in either platform can cause confusion.
10. Review Conflicts in Two-Way Sync
If you enable two-way sync, conflicts are rare but possible. Review the Activity Log periodically to see if any conflicts occurred and how they were resolved. This helps you understand your team's workflow and adjust your sync strategy if needed.
